Client Install: New Law firm full technology setup

When starting a business, ensuring a strong technology foundation can mean the difference between a smooth launch and future disruptions. One of our recent projects was for a startup law firm that wanted to get things right from the beginning. The firm approached us with a clear directive: build their technology from the ground up and prioritise quality and efficiency with a “do it once, do it right” approach without breaking the bank. Here's a look into how we approached this project and the impact it had on their operations.

The Requirements

Our client’s brief laid out clear requirements for their tech setup. Their needs included:

  • New email accounts using their domain name
  • A cloud based filing system for their documents
  • PC's with dual monitors for each of their team members
  • A versatile, scalable phone system without physical desk phones
  • A networked printer with scanning capabilities
  • Reliable Wi-Fi coverage and secure networking
  • A reliable internet connection suitable for their cloud-based software
  • Ongoing maintenance and security for all PCs

The goal was to create an environment where all systems worked seamlessly, providing efficiency and reliability from day one.

The Solution


Microsoft 365 Business Tenancy for Email and Collaboration

The first step in this project was setting up a Microsoft 365 Business tenancy. This allowed us to establish new email accounts for the firm, using their domain name and provided them with a powerful suite of collaboration tools like SharePoint and OneDrive.

We configured each user account with robust security measures, including multi-factor authentication (MFA), enrolling in EntraID for ceontralised control of devices and security including geo-blocking of access outside of Australia to protect sensitive legal communications. SharePoint became a centralized location for document storage and collaboration, ensuring that the legal team could access critical files securely from anywhere.

High-Performance PCs with Dual Monitors

Next, we installed new high-performance MSI NUC based computers with Intel i7 CPU's and 32GB of RAM, each equipped with dual monitors. For a law firm, screen real estate is crucial. The dual monitors allowed their team to work more efficiently, easily switching between legal documents, client files, and research materials. The new hardware was paired with Windows 11 for a seamless and updated user experience, further boosting productivity.

3CX VoIP Phone System with Yealink Headsets

The client needed a phone system that wasn’t confined to a physical office. We recommended and implemented the 3CX VoIP Phone system, which offered mobility, flexibility, and scalability. Paired with Yealink wireless headsets, the team no longer needed traditional desk phones. They could receive calls from clients on their computers or even on mobile devices when working remotely.

This modern phone setup has the added advantage of reducing costs, as there’s no need for traditional phone lines. Moreover, the legal team benefits from features like call recording and automated client call logs, enhancing their ability to manage client communication.

Printer with Scan-to-Email Function

Printing, scanning, and copying remain critical for legal practices. We provided and configured a networked Brother printer with a scan-to-email function, allowing them to scan documents directly to their emails securely. This capability has saved them countless hours and improved their document management workflow, minimizing reliance on manual document handling.

Networking Equipment, Wi-Fi & Internet Installation

All the above services had to be tied together with robust networking. We installed and configured TP-Link Omada controller, PoE switches and Wi-Fi 7 access points to link up their entire technology ecosystem. The internet connection was supplied through TPG and the set up offers secure and reliable internet access throughout their office space, allowing team members to work efficiently without connectivity issues.

Ongoing Maintenance and Security

No technology setup is complete without ongoing maintenance and security. We put them on our maintenance and security package which gives them proactive maintenance while keep costs low and only paying for support when they need it.  

Being a business that processes a lot of personal and confidential information it was critical that security measures were also in place for emails and files, for this we rolled out Email Antispam, Endpoint Threat Detection and Response and software patching on the PC’s along with backups for Microsoft 365 including emails and SharePoint libraries.

Implementation 

We undertook the majority of the preparation for the installation in the weeks leading up to our client being given the keys to their new office, this gave us the ability to set up the Microsoft 365 tenancy, emails, the phone system and the computers offsite customised to each user.

Once the client had the keys to the office we spent a day onsite installing everything and setting up the network, we juggled timings with the arrival of the desks to ensure the job was completed to our clients' satisfaction.  

Outcome

Our client was thrilled with the outcome of the setup and install and was really glad to have the technology setup taken off their plate in what was for them a stressful time moving from another firm to start out on their own.
